1. Data controller

2. What data we collect
- data given in the order form: first and last name, company name and tax ID (if you buy for a company), delivery and billing address, phone number, e-mail address,
- information needed to carry out the bottle exchange and delivery: how the empty bottle will be returned, pickup date, where the bottles will be left, and – if you provide them – the name and address of a neighbour with whom we should leave the water,
- payment data (status, amount, method) – we never receive the card data or bank login details themselves,
- the content of correspondence, if you write or call us,
- technical data stored in cookies (see section 8).
If you give a neighbour’s details, make sure they know and agree. We use them only to leave the parcel.
3. Purposes and legal bases of processing
- concluding and performing the sales contract, delivery and bottle exchange, contact regarding the order – Art. 6(1)(b) GDPR,
- issuing invoices, keeping accounts and tax settlements – Art. 6(1)(c) GDPR (legal obligation),
- handling complaints and withdrawals, and establishing, pursuing or defending claims – Art. 6(1)(b), (c) and (f) GDPR,
- contact about further deliveries under an ongoing arrangement and answering questions – Art. 6(1)(f) GDPR (our legitimate interest),
- ensuring the operation and security of the website – Art. 6(1)(f) GDPR.
4. Who we share data with
We share data only to the extent needed to fulfil the order:
- the payment operator Tpay – Krajowy Integrator Płatności S.A., based in Poznań,
- carriers: Poczta Polska S.A. (Pocztex), DPD Polska sp. z o.o., and – when a return is dropped off at a point – the Żabka network,
- the website hosting provider (LH.pl sp. z o.o.),
- providers of the invoicing, e-mail and order-handling tools we use,
- our accounting office and public authorities, where required by law.
Some service providers (e.g. e-mail) may process data outside the European Economic Area – only on the basis of mechanisms provided for in the GDPR, such as standard contractual clauses or European Commission decisions.
5. How long we keep data
- order and invoice data – for the period required by tax law (5 years from the end of the year in which the tax payment deadline expired),
- data needed to handle complaints and claims – until the limitation period for claims expires,
- contact data for an ongoing arrangement – until the arrangement ends or you object,
- a neighbour’s data – until the given delivery has been completed.
6. Your rights
You have the right to access your data, to rectification, erasure, restriction of processing, data portability and to object to processing based on our legitimate interest. To exercise these rights, write to zrodelkotako@gmail.com. You also have the right to lodge a complaint with the President of the Polish Personal Data Protection Office (ul. Stawki 2, 00-193 Warsaw).
7. Do you have to provide data?
Providing data is voluntary, but without the data marked as required in the form we cannot accept or fulfil the order. We do not make automated decisions or profile customers.
8. Cookies
The website uses cookies necessary for the shop to work – among other things to remember the contents of the cart and handle the order (WooCommerce) and to ensure secure payments. We do not use advertising cookies. If we add analytics or advertising tools in the future, we will ask for your consent. You can manage cookies in your browser settings; disabling necessary cookies may make it impossible to place an order.
9. Changes to this policy
We may update this policy, e.g. when service providers or regulations change. The current version is always available on this page.
